PROCESS REVIEW & PRACTICAL AI

AI-Assisted Meeting Follow-through & Project Reporting

Design a clearer route from meeting notes to reviewed actions and project reporting.

Free, 30 minutes: discuss the bottleneck, what needs closer review and whether a scoped review would help.

Is this the right workflow to review?

For project sponsors, operations managers and PMO or delivery teams that need a reliable route from meeting records to accountable actions and status reporting.

What SIGMA prepares

  • Meeting-to-action process map and draft/validated record definitions
  • Action register, reporting template and exception-review responsibilities
  • Baseline measures, an evaluation plan and recommended next step

Meeting notes with one unresolved action

Illustrative workflow example using fictional data. Prepared example—not a live AI demo or a client result.

01 Meeting notes

Fictional project: Example Store Setup. Day 1, Day 3 and Day 5 are relative days in this invented scenario—not calendar dates.

Day 1 notes: Decision — use one shared action register. Project Coordinator to update the register by Day 3. Someone to check the supplier lead time soon. Project Sponsor to review the action list on Day 5. No delivery progress was reported.

02 Draft actions

Prepared action records — fictional data. Scroll horizontally if needed.

A2: Check supplier lead timeNot statedNot statedOwner and due day

Day 5 is the sponsor’s action-list review, not A2’s deadline.

03 Human review

  • Compare draft records with the Day 1 notes; keep A1 uncompleted until evidence is provided.
  • Ask the Project Sponsor to confirm A2’s owner and due day. The Day 5 review is not A2’s deadline.
  • Validate the decision and action list before hand-off. No task system is updated by this example.

04 Draft status note

Illustrative workflow example using fictional data. Prepared example—not a live AI demo or a client result.

DRAFT STATUS NOTE — REPORTING CUT-OFF: END OF DAY 1

Decision recorded for validation: one shared action register.

Actions: A1 — Project Coordinator to update the register by Day 3; completion not reported. A2 — supplier lead-time check; owner and due day awaiting confirmation.

Exception for Project Sponsor: confirm A2’s owner and due day. Scheduled action-list review: Day 5.

Delivery status: unknown. No progress percentage, overdue action or risk resolution can be concluded at the end of Day 1.

Approval: pending sponsor validation. No report is distributed and no action is marked complete.

Scope & controls

SIGMA reviews the process and designs the proposed workflow. A working pilot or system connection is considered only after delivery capability, technical feasibility and scope are confirmed. Review work has agreed outputs, timing and fees; the initial 30-minute call is free.

A person validates decisions, action owners, dates and status before hand-off. Missing information remains flagged. Use permitted records, a named reviewer and a manual fallback. No existing email, CRM or meeting-platform connection is offered here.

How an evaluation would work

Establish a comparable baseline and representative test cases. Include human checking, corrections and exceptions when measuring the complete process.

Compare action ownership, overdue actions, report preparation, rework and end-to-end cost.

These are evaluation measures, not achieved results or promised savings.

Before you start

What do we need to get started?

Start with your meeting-to-report process, a blank action register or reporting template and permitted, redacted notes. We agree the required information and scope before a paid review.

Can it attend or record Teams or Zoom meetings?

No meeting attendance or recording capability is offered here. Begin with permitted notes supplied manually; recording and platform access need a separate assessment.

Are extracted owners and dates final?

No. They are draft suggestions until an authorised person validates them. Missing or conflicting information is flagged for clarification.

Can it update our project tools or CRM?

No existing connection is offered here. The design can specify the hand-off; any implementation requires capability, access and technical checks.

Is the sample dashboard an actual AI output?

No. Both the workflow example and the management sample use fictional data. Neither is evidence of a live AI product or client result.
